1. Introduction

1.1. System purpose

Our objective is to implement a user-friendly application for monitoring vehicles, equipment and employees that will enable the administrator, supervisor and staff of Maxi Clean Co Ltd to input and retrieve information required easily.

1.2. System scope

Due to time constraint, we are computerizing part of administrative department. We will build up the software that will enable the administrative staff to process contracts efficiently and effectively.

1.3. System overview

It is designed only for the authorized users of Maxiclean Company System. Its aim is to help users to monitor the software easily.
The system provides detailed diagrams to better understand the system. The system is designed according to users’ requirements to solve the problems that users encountered with old versions and to facilitate their work.

2. General system description

2.1. Context Diagram of the new system

1.2.Major system conditions

· The sans serif font should be used and the size of normal text should be 12.
· The maximum size of employee should not exceed 5000.
· The system should allow the user to manipulate data entry.


2.3. Major system constraints

The delivery of system must be in 5 months.
There should be two user accounts and contract details should not be accessible to only one user account.
Employees recruited by the company should not be less than 18 years old.

3. System capabilities, conditions, and constraints

3.1. Physical

3.1.1.1 Construction
The system will be installed in the head office of Maxiclean Company.
The weight of the system should not be of more than 1GB.
A LAN should be set up so that all clerks shall get access to the database at the same time but no two users can modify simultaneously.

3.1.1.2. Durability
The new system must provide all the necessary requirements so that it can be used for a maximum of five years.

3.1.1.3 Adaptability
The system should allow expansion and capability to adapt to changes such that it shall require future network bandwidth and the hardware rack should have extra slots to accommodate new network cards as demand increases.

3.1.1.4 Environmental conditions
· Environmental factors should be avoided as much as possible for example; the temperature of the office should be kept in good temperature.
· Motion, shock and electromagnetic signals must be taken into considerations so as not to damage the hardware and internal parts of the computers. This may lead to system damage.

3.1.2. System performance characteristics

Since the Office has a restricted area, cabling should be set up properly as a result to movements may cause harm.
The covering endurance capabilities of the equipment required must meet the users’ needs under the stipulated environmental and other conditions i.e. should last longer.

3.1.3 System security

System should provide access limitations to users such as two log-on procedures; one for the C-level management and the other for clerical purposes.
The system should provide protection from accidental or malicious access, use, modification, destruction or disclosure of information. Firewalls should be installed and restrictions should be set by the users to prevent unauthorized access.
